Codam is dedicated to providing excellent learning experiences and support. We encourage feedback and suggestions from students. However, if a student feels they've been treated improperly or unfairly impacted by our rules, they can file a complaint. This procedure outlines how to do so.
🟠 Internal Procedure
Firstly, try to resolve the issue directly with the person(s) involved. You can always reach out to the Student Affairs Supervisors, Roos or Welmoed, or any other staff member to help you with this. The Student Council ([email protected]) is also available for support if your issue relates to the Staff.
When you feel unsafe or uncomfortable discussing the issue through these channels then you can directly file a complaint. If your complaint relates to undesirable behavior by the Staff, all forms of sexual intimidation, bullying, aggression, stalking, violence and discrimination or other issues of equal severity, we recommend to directly file a complaint.
If this didn’t solve the issue, then continue to officially file a complaint.
Official complaints are handled by Ms. Higgin. Ms. Higgin is the Director of the Sofronie Foundation, the Sofronie Foundation supports and funds Codam, and therefore is familiar with Codam but not part of Codam's staff. Ms. Higgin is responsible for handling all official complaints. Everything discussed with Ms. Higgin will be considered confidential.
The procedure for filing an official complaint is as follows:
1️⃣ Send an email to [email protected] with a clear explanation, and include documentation if available.
2️⃣ You will be invited for a meeting with Jacqueline within 4 weeks.
3️⃣ Once all information is collected, a decision will be taken on the complaint and involved parties will be informed.
4️⃣ The complaint is archived for 2 years.
🔴 External Procedure
If you are not satisfied after filing an official complaint internally, complaints can be brought to the independent Dutch Foundation for Consumer Complaints Boards (De Geschillencommissie). They follow the NRTO Code of Conduct and General Terms and Conditions for Consumers. More info at: https://www.degeschillencommissie.nl/english/.
